    Sister Libraries Meeting Minutes – ALA Annual 2013
           8:30am-10:30am, Saturday, June 29, 2013
     McCormick Place Convention Center (MCP), Hall A, Meeting Room B, Chicago

• 8:30 - 9:00 a.m.: IRRT Committee Chair’s Meeting with the IRRT Exec Board • 9:00-10:00 a.m.: IRRT Subcommittee meetings • 10:00-10:30 a.m.: IRRT Subcommittee Reports to IRRT Exec Board

1. Introductions

    a.	Committee Members Sandra Hirsh, Katie Prentice, Carol Brey-Casiano, Peggy Ridlen, Catherine Phan (Virtual members: Shu-Hua Liu)
    b.	Members absent: Julianne Breck, Olga Knyaz, Zola Maddison, Shu-Hua Liu
    c.	Visitors:  Sue Aspley, Caren Kem, Luis Herrara, Loida Garcia-Febo, Michelle Keba, Rumyana Hristova, Michele Paladines

3. Reports & Activity Updates:

    a.	American Spaces/Department of State (Carol Brey-Casiano) – Carol discussed how American Spaces encompasses American Corners, Information Resource Center, and Binational Centers.  She is transitioning from Brazil to Washington DC. One of the challenges is identifying libraries in the United States that are willing to serve as a Sister Library. 
    b.	Sister Libraries (All)
     i.Conversations with interested partners – no updates
    c.	Website & Wiki (Sandy Hirsh)
     i. Sister Libraries Database
       1.Update content/Status of this project: Sandy Hirsh hired a San Jose State University School of Library and Information Science student Justine Withers to work on updating content on the wiki database, specifically ensuring consistency in entries, updating the content and removing old/inactive content, etc. She has put together a work plan for this project.
         a.Action: Sandy Hirsh will send this out to all members.  
       2.Establish process for on-going updates: We discussed the importance of keeping the database up to date once the updating is completed so that the content is always accurate.  
         a. Action: Catherine Phan agreed to take on this responsibility. 
     ii. Identify Success Stories – The committee discussed ways to identify success stories of    successful Sister Libraries partnerships.  
       1. Action: Carol Kem said that she could send us some examples of Sister Library partnerships.   She mentioned that 8-10 IROs expressed interested in Sister Libraries too. 
       2.Action: Carol Brey-Casiano and Luis Herrera said they would do a reach out to Urban Libraries Council regarding success stories and Sister Libraries. 
     iii.	Other next steps
   d.	Emerging Leaders Project Proposal (Sandy Hirsh) – We discussed the possibility of submitting a proposal for an Emerging Leader to help work with our committee on making it easier to set up a Sister Library partnership.  Specifically, the idea would be to create a template for a MOU that partner libraries could use when negotiating a partnership.  Additionally, the Emerging Leader could work on developing supporting documents that would assist with this process, for example identifying or creating the 5-10 best resources that would be helpful in setting up a sister library partnership and the top 10 questions (and answers) in establishing these partnerships. 
     i. Action: Sandy Hirsh to work on the application. 
   e.	Programs (Sandy Hirsh)
     i. ALA Annual 2014 – Carol Kem asked the Sister Libraries committee to be involved in planning the IRRT Chair’s Program (co-sponsored with AASL), which will focus on youth connections in Sister Libraries. 
       1.Action: Peggy Ridlen will represent Sister Libraries Committee in this program planning effort. 
    ii. Library 2.013 – We discussed the possibility of doing a program that featured Sister Libraries success stories.  
      1. Action: Sandy Hirsh to explore this. 

4. Sister Libraries Goals

    a.	Wiki content clean-up: Find a way to make the online information easier to navigate and maintain currency.
    b.	Sister Libraries online presence: We should provide a space that facilitates partnerships between libraries and work to make that online connection space more visible and raise awareness of Sister Libraries opportunities:
     i.Working with ALA Presidents (past and present)
     ii. Working with IROs 
    c.	Develop Sister Libraries community
